Hunter Arts Calendar Help

The following is a step-by-step guide on entering new events into the Hunter Arts Diary Calendar.

This help guide can be accessed at anytime after you logon by clicking on "How to add new entries" at the very bottom of your main calendar screen.  See screen shot below in step 1.

Quick guide for a one day event
Step 1 Logon to calendar
Step 2 Navigate to the date of event
Step 3 Click the small cross to add event
Step 4 Enter short description
Step 5 Enter full description
Step 6 Check that Access is on Public
Step 7 Select Category
Step 8 Click save (repeat steps 2 to step 7 for other events)
Step 9 Log out and check your entries
Events are now live


Detailed guide for all event types

Step 1. Logon
Locate the calendar logon link at the bottom of the event lists on the main pages of the web site.

Step 2.  Navigate around the calendar
Before you add a new event you will need to locate the correct date your event is on.  After you logon to the calendar you will have the current month at a glance on the screen with your name at the top.  From here there are a number of ways to move around the calendar.  On the screen shot below the circled links are the main way to move around to a new day, week, month or year.

After you have clicked away from your main page you can return at anytime by clicking My Calendar on the Go to menu at the bottom of the screen.  Spend some time and click each link to familiarise yourself with the calendar.


Step 3.  Locate the add a new entry link
To add a new entry to the calendar click on the small cross located at the top right corner of each day cell  or click on the Add New Entry link at the bottom of the screen.

Where ever you see the small cross you can click it to add an entry.  You will find a link in the day view, week view and month view.

If you click on the cross next to a particular time e.g. 9:00am then your entry will be listed as commencing at 9:00am.

 

 

 


Step 4.  Add a new entry
Include here all relevant information for your entry.

Important:  Make sure that you check all information before saving the event to the public calendar.  See the items marked on screen shots.
 

Note: you cannot edit another users events.

Within the Full Description area include as much as the following as possible.
Name of event:
Full Description:
Place:
Dates:
Time:
Costs:
Contacts:
Parking:
Directions:
Other:
 

Brief Description: This should provide a short description (about 20 characters) of the event. This will represent the event when viewing the calendar.
 
Full Description: This should complete details of the event. This information can be seen when a user views the event.
 
Date: Specifies the date of the event.
 
Time: Specifies the time of the event.
Select either "Timed event" (for an event that is scheduled for a specific time on that day), "Untimed event" (for an event this does not have a time (like a holiday), or "All day event" (for an event that takes all day (like being out of the office).
 
Duration: Specifies the duration (in hours:minutes) of the event.
This field can be left blank.
 
Access: Specifies the access level of the event.
Public: Everyone can see the full details of the event.
Confidential: Others can see that you have an entry for that date and time, but not the details of what it is.
 
Category: Specifies what type of event is listed. E.g Music
 
Participants: Lists the participants of this entry.
 
Repeat Type: Select how often the event should repeat. Monthly (by day) allows an event to repeat on the 1st Monday of the month, 3rd Thursday of the month, etc. Monthly (by date) allows an event to repeat on the same day of the month.
 
Repeat End Date: Specifies the date the event should repeat until.

 
Repeat Day: Specifies which days of the week the event should repeat on. This is for use only when Repeat Type is set to Weekly.
 
Frequency: Specifies how often the event should repeat. The default 1 indicates it should occur every time. Specifying 2 will make the event occur every other week (if Repeat Type is set to Weekly), every other month (if Repeat Type is set to Monthly), etc.

Types of Events

One Off - If your event is a one off, after you have entered all the relevant information on the details screen you can click on Save. 

Note: Clicking Save will make the event instantly live to the public. Please check your entries are correct.  Hunter Arts will not take responsibility if events are entered incorrectly

Repeated Daily Events - If your event is repeated over more than one day click on the Repeat tab and select Daily under Repeat Type.

E.g Event begins on 26th Nov and is over 3 days ending on the 28th Nov

Click on use end date and select 29th Nov as end date then click save.

 

 

Repeated Weekly Events - If your event is repeated every week or every week for a given number of weeks use the repeat weekly type. 

Click on repeat tab and select weekly from the repeat type.
Select use end date if for example the event was on every weekend for 3 weeks then finished.
Select the days the event is on each week and save.

Note if you enter a 2 in the Frequency box it will put the events on every 2 weeks not every week.

 

Repeated Monthly Events
By Day
If you want to list an event that you hold say on the 3rd Saturday of each month use the Monthly (by day) Repeat Type.  If the event is only on for 3 months for example then use an end date.

 

Only use Frequency if your event is not on every month.  If it is every 2nd month enter a 2 in frequency.

Repeated Monthly Events by Day From End this option will be on the 2nd last Saturday of every month for example.

Repeated Monthly Events by Date This option will put the event on a particular date of each month.  E.g. the event could be on the 1st day of each month.

Repeated Monthly Events by Year This option will enter the event on the same date every year.


Edit or delete entries
To edit or delete an entry firstly logon to the calendar, navigate to the entry you wish to change and click on it.  Now click on Edit entry to make changes to your entry or Delete entry to remove from the calendar completely.

If you have used the Repeating Entry Type you can edit for all repeat entries or for single repeat entries.

Once you have made your changes click save to complete the edit.
